Compliance
Plain answers about data.
What we collect, why, who can see it, and how anyone listed can take control. This page is a summary, not legal advice.
How we handle data
- What we hold
- Professional information about people in media and communications: name, role, outlet, topics they cover, links to published work, and a work email address where one is public or was provided. Not personal addresses, home details or personal social accounts.
- Where it comes from
- Public sources, outlet-maintained records, licensed providers, customer imports (private to that customer), and confirmations from the people themselves. Each detail records its source.
- Why we hold it
- To help publicists find and approach relevant media professionals. For people in the UK and EU, our basis is legitimate interest, balanced against the individual’s rights, with an easy way to object.
- Your rights
- Anyone listed can see, correct, restrict or delete their record: claim it at /me, or use the privacy form. We confirm and complete deletions within 30 days and keep a suppression so the person isn’t added back.
- Email rules (CAN-SPAM and similar)
- Every campaign message identifies the sender, includes a postal address and a one-click unsubscribe, and honors opt-outs immediately. Complaints and bounces suppress the address. Recipients who opted out of ProperIntro entirely are never emailed through it.
- Security
- Contact values are encrypted at rest, reveals are limited, rate-limited and audited, and contact details can’t be downloaded, staff and outlet editors use multi-factor authentication, and support access requires a customer’s approval. See the security page.
- Who processes data for us
- Our database and authentication provider, an email delivery provider, and a payment processor. We don’t sell personal data and don’t share customers’ lists, notes or campaigns with other customers.
- Retention
- Records stay while they’re accurate and useful. Deletion requests are honored; customer workspaces can be exported and deleted on request; audit logs are kept to protect customers and individuals.
